Tim Employer

HR Manager

General Medical

1 Main Avenue

Dallas, TX 75204

Dear Tim,

I am pleased to apply for the medical receptionist position at General Medical. I have 4+ years of experience in managing the schedules of 12 physicians across different specializations, with other 120 appointments made daily with no errors. I am looking to leverage existing skills to make a bigger difference at General Medical.

At UrClinic, I managed the calendars of 12 physicians of different specializations: endocrinology, gastroenterology, sports medicine, internists and family doctors. For 11 months straight, I maintained a 100% patient satisfaction rate based on post-appointment surveys. After implementing a new scheduling and appointment reminder system, I managed to save 8+ hours of work every month that was spent on chasing people up. Similarly, the reminder system reduced the number of missed appointments by 78%. In the past year, I trained three new receptionists, two of which now independently work at our South Dallas location. All three remain employed by UrClinic and have been model employees.

I am excited at the difference I could make at General Medical. I am a problem solver, my first act in the current position was finding a new office supplies vendor and cutting monthly office costs by 12%. I bring an innovative edge to the table—I grew UrClinic’s patient base by 18% in a year through organizing weekly Q&A sessions with physicians on our social media channels.

When would be a good time to schedule a call or meeting to discuss how we can leverage my experience to provide maximum improvements at General Medical?

Best Regards,

Cory Wechsler

And just like that, Cory has an interview to put in HIS diary.

Not all candidates have this much experience, and more importantly—some medical receptionist jobs simply do not require it. And if you wonder whether cover letters are necessary, the answer is yes. There is no better tool to show your motivation. Consult this medical receptionist cover letter with no experience?

We can, so you can too. Here’s how:

John Employer

HR Manager

VP Medical

1 Main Avenue

Orlando, FL 32801

Dear John,

I am excited to apply for a Medical Receptionist role at VP medical. I believe I am equipped to help VP Medical run a smooth operation while providing world-class care.

I have just graduated from Grove Road High School with a 3.6 GPA, with my highest grades being in Maths, English and Business. An avid technology fan, I type at 90 words per minute without errors. I have developed a friendly phone manner while volunteering for Greenpeace and doing subscriber outreach to renew their contributions. Additionally, I have excellent customer service skills I acquired in the 2 years of my high school job as a cashier in Green Market, which I can provide a professional reference for.

I believe I have the right mix of skills to make a capable and efficient medical receptionist, and I look forward to learning this new environment.

When would be a good time for a call or a meeting to discuss how I can leverage my computer skills to improve your scheduling system?

Best Regards,

Jeffery Wetzler

It’s that easy. Follow these medical receptionist cover letter samples, and you’ll be answering two phones at the same time, very, very soon.

Now let’s schedule some time to work on your own medical receptionist cover letter.

How to Write a Sterile Medical Receptionist Cover Letter

1. Use the Business Cover Letter Format

In your new job, you will be handling documents all day long, with the expectation of taking responsibility and exercising due diligence. Your medical receptionist cover letter is also a document, and you should treat it with the same respect.

Show that you are organized and pay attention to detail, starting from your margin size.

The business cover letter format:

  • Keep your cover letter to less than 1 page.
  • Use your resume font
  • Include three paragraphs in your medical receptionist cover letter.
  • 1-inch margins, 1.15 spacing.
  • Left-align your cover letter, and single-space your text.

So, what to include in your cover letter?

2. List Your Contact Information In the Header

Just match the header to your resume header. List all your personal details, then the city and date of the letter on the next line. Below, the details of the hiring manager—if you don’t know who that is, just call them up.

Expert Hint: If you’re applying online, there are some specific issues to keep in mind when sending your medical receptionist cover letter electronically, which our email cover letter guide will clue you up on. At ResumeLab, there is also always more cover letter tips, dos and don’ts to know.

3. Identify Yourself and the Position You’re Applying For

Address your cover letter directly to the person in charge. If they are a doctor, addressing them by their formal title is the safer bet. Start your cover letter by quickly listing your years of experience and your most relevant achievements and skills.

Use this for structure:

Medical Receptionist Cover Letter: Introduction

Dear [Hiring Manager’s name],

I am elated to have the opportunity to become a [Medical Receptionist] at [target organization name]. I have [number of years]+ years as a [Medical Receptionist] under my belt, and have acquired the necessary [skill] skills to handle the busy diaries of physicians at [target position name].

Expert Hint: Consult this guide if you’re writing a cover letter with no experience.

4. Give Them A Reason To Hire You

Even for jobs that focus mostly on communication and repetitive tasks, the best strategy is to quantify your impact. Always back up your arguments with achievements or metrics.

This middle paragraph should contain between 80 and 120 words and 2 to 3 of your biggest achievements and skills. Don’t make a boring list of responsibilities. Don’t write down what they expected you to do—in your cover letter write how well you did it

Like this:

Medical Receptionist Cover Letter Example: Second Paragraph

You require a medical receptionist to handle [refer to the requirements of the job]. At [name of your previous employer], I spent [number of years]+[refer to the requirements of the job], processing approximately [X] appointments a day for [X] physicians, with [X]% accuracy. I type at [X] wpm and I am familiar with all Microsoft Office products as well as [Appointment Software].

Expert Hint: Out of ideas? Typing speed can be a big benefit in receptionist jobs! Don’t know what your typing speed is? In approximately 60 seconds, you will! Take a test online a few times to find the average. It's one of the valuable skills to put on a resume.

5. Give Them A Reason Why You Applied

In the third paragraph, candidates usually either placate the employer and explain why they want to work exactly there, or explain what exact benefits hiring them will bring (and that’s why writing general cover letters doesn’t make sense). Considering not many people have a calling to be receptionists, the latter is a safer bet.

Fill in the [blanks]:

Sample of a Medical Receptionist Cover: Third Paragraph

I believe my proven track record in [Skill / Achievement] and [Skill / Achievement] make me a viable candidate for your next medical receptionist. I am eager to leverage my skills to make a bigger difference at [target organization name] while helping you provide world-class care uninterrupted.

Expert Hint: Do you need a cover letter? According to HR statistics, cover letter are expected by 50% of hiring managers.

6. Sign Off & Request Interview

End your cover letter professionally. Ask for a call or interview to discuss a relevant point from the job ad, avoid lukewarm statements such as ‘I look forward to hearing from you’, or the dreaded ‘Thank you for your attention’. This isn’t a high school PowerPoint presentation.

Choose a good talking point, achievement or skill for this line. Something they will really be interested in. Sign off formally with ‘Best Regards’, and you’re almost ready to send!

Best Regards,
